On occasion a fax job will fail without additional information. The device cannot determine the fault immediately, so it is HIGHLY suggested that an email confirmation be setup to confirm what caused the fax to fail.
Additional helpful tips are as follows:
- When sending faxes, be sure to remove all formatting from the Number field. For example, 1-202-555-1234 should be entered as 12025551234.
- There is a slight delay when sending faxes, this is because the server is done so via the internet, not a fax (tele-line) to fax (tele-line) service. This delay allows the system to reattempt a failed fax job and provide a failure reason to the email confirmation address.
- A fax number can be confirmed quickly by dialing the number provided. This will indicate that the number is in service, picking up, and that it calls to a fax machine. Majority of fax issues are because the number is incorrect, calls a phone, does not pick up, or is not in service.
- Large fax jobs (20+ pages) will be further delayed as the data being transmitted takes time. Unlike the internet, faxing still utilizes transmission speeds from 1990. The larger the fax job, the longer it will take for the fax data to reach its destination.
- For Medical/HIPPA compliant faxing - include a cover sheet indicating the date and time sent; the recipient’s name and fax number; and the sender’s name, organization and phone number. The fax cover sheet should NEVER include a patient’s name or any other PHI (Patient Health Information).
